Kasama Well-being (company no. ), whose registered practice is at Kasama Well-being, Kotilo, Euximoor Drove, Christchurch, Wisbech, PE14 9LT, is the Data Controller.

Kasama Well-being offers alternative therapies such as Reiki Healing, EFT Tapping, Numerology Readings, Crystal Energy Healings, Colour Mirrors Bottle Readings, New Moon and Full Moon Circles, and Spiritual Workshops.

Kasama Well-being is committed to protecting your personal data and ensuring complete transparency of how we use it. This Privacy Policy aims to define how we collect your data and how we process this information using our website and any other means of contact with Kasama Well-being, including, but not limited to, the use of social media, email, phone calls and attendance at our Taster Sessions.

1.DISCLOSURES OF YOUR PERSONAL DATA

We may have to share your personal data with third parties set out below for the purposes set out in the table in Section 1 above.

 

  • Our technology providers who we engage to support our operations and/or host our data: CRM software in a password protected account, Cloud-based software in a password protected account.

  • Social Media in aggregated or anonymous format.

  • Marketing companies (to create publicity materials; however, this is only where we have obtained your fully informed, freely given, consent) e.g.: - Alicia Cranwell Marketing Consultancy is our sole third-party contractor involved with Kasama well-being as a data processor.

  • Law enforcement and regulatory agencies in connection with any investigation to help prevent unlawful activity or as otherwise required by law

  • EFT Institute and other authorities where we are required to do so. Like us, these organisations are data controllers and as our governing body, may sometimes require a data-sharing agreement to cover the processing of practioner’s case studies. We ensure that your sensitive data is not shared with anyone, however your visual identity is processed when we share case study video content with these parties.

  • Our mentor with whom we may wish to discuss information about our clients. This information will always remain anonymous, and we will take all necessary steps to protect your identity. For practitioners, being able to discuss difficult cases with their mentor is an essential part of professional practice. We require your full consent to do this within our client-practitioner contract.

  • EFT mentor who requires video copies and write-ups of case studies.

  • An associate appointed by Michele Lowery to destroy your files (within the legal timeframe) in the event of incapacity or death.

 

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

 

In the event of case-studies during the training of Michele Lowery in EFT, EFT and mindfulness Centre requires case studies and multimedia data sharing for course evaluation. This data is retrieved legally through the provision of a consent form to all case study individuals. Your data is stored by them and us for 7 years. EFT Mindfulness Centre is GDPR compliant.

1.1.Marketing, Advertising and Analytics

We strive to provide you with choices regarding certain personal data uses, particularly around marketing and advertising.

 

We may use your Identity, Health, Behavioural, Demographic, Psychographic data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which services and offers may be relevant for you. Once this decision has been made, you may receive targeted marketing communications via email, text, phone call or through social media. Additionally, we sometimes use social media paid advertising to serve ads that we think might be relevant to you, as well as to track your engagement with them. When you visit our website, we may serve you advertisements regarding services and offers that may be of interest to you (or in some cases, to users who we deem to have characteristics similar to our customers and web users). To do so, we may place Facebook pixel tags or other tracking technologies on our website to retrieve this data necessary to understand the relevance of our marketing efforts and your customer journey. This data remains anonymous, we can only see your personal data when you opt to send us your data by submitting a contact form or making a purchase. You will receive marketing communications from us if you have requested information from us unless you have opted out of receiving that marketing.

 

We will never use or disclose your personal information in our marketing efforts, including anything which might identify you as the client, or by which you the client might identify yourself if they were to read it.

 

1.1.1.Facebook Custom Audience Tool

We may display interest-based ads to you when you are using Facebook through a tool offered by Facebook, known as the Custom Audience Tool. This tool allows us to personalize your ads based on your use of our online and offline services. We do not share any of your personal information, including your behaviour and purchasing habits on our websites, with Facebook. The Custom Audience Tool enables us to convert your email address and name into a unique number that Facebook uses to match to unique numbers Facebook generated from email addresses of its users. The Collected data remains anonymous.

1.1.2.Facebook Conversion Tracking Pixel

This is a small piece of JavaScript that is incorporated into each of our web pages. This enables us to transfer website-specific events and user-defined data to Facebook. This enables us to use the data to address users for advertising purposes using Facebook ads. Again, the collected data remains anonymous and invisible to Kasama Well-being, and third parties. Kasama Well-being, can only advertise to website customer target groups in a personalized way once the customer target group has reached a population large enough to protect your privacy, making it impossible for us to discover the identity of individual visitors. 1.1.3.Third-party Analytics Providers

We use third party analytics providers, including Google to collect information about your use of our website and enable us to improve the performance of our marketing tools. The information allows us to see the general trends of usage on our website pages and services, allows us to record any problems or errors that you may experience when using our website and services, demonstrates the effectiveness of our advertising and helps us to align our marketing with website trends that the analytics provider makes visible to us, without identifying individual End-Users or Visitors to us. 2.INTERNATIONAL TRANSFERS

The provision of your personal information is necessary for the practice of our services, we require you to fill out a consent form that includes, but is not limited to, the following information:

  • Written consent to inform the relevant authority in the case of danger to you or others,

  • Written consent for us to build anonymous personas using insights from your data and your feedback,

Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to offer you our therapies. In this case, we may have to cancel a service you have with us, but we will notify you if this is the case at the time.

We may use your Identity, Health, Behavioural, Demographic and Psychographic data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which services and offers may be relevant for you, this is called customer profiling.

We will never carry out profiling on children.

  • In the event that the client reveals something, which gives the practitioner cause to believe that the client is a danger to themselves or others.

  • HMRC requirements

 

Your data is stored for the duration we consider you an active client, and for a period of 7 years following the termination of business between us. This period is determined by HMRC who request that business records are retained for this period. In the instance that you wish to withdraw your consent, your information will be held in a locked filing cabinet for the required time and will remain untouched until we are legally allowed to destroy it.

 

2.1. Children

If the practitioner feels they must break confidentiality, the child will first be given the opportunity to tell their parent or guardian or other authority themselves, with help from the practitioner if they would like it, or to be present when the practitioner tells the parent or other authority.


Our insurance requires that we retain children’s notes for a duration of 7 years after the child reaches the age of maturity, in other words, until they reach the age of 25.

 

2.1.2 What we may need from you

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made several requests. In this case, we will notify you and keep you updated.
